Enrolling and Uploading Sleep Procedure on BeatBox
To enrol a patient's Holter procedure in BeatBox, follow these steps:
Part I: Enrol a Patient on BeatBox
1. Go to https://www.beatbox.cloud/ and log in to BeatBox.
2. Check that the Sleep device is plugged into your computer:
- Attach the Sleep (Falcon HST) device to the docking station, then insert the docking station cable into the USB port on your computer.
- Check that Sleep (Falcon HST) device is plugged into your computer.
Search for the patient
1. At the top left of your Worklist, click Enrol.
2. Select the patient's lab then search for the patient in BeatBox.
3. Select the relevant patient in the list.
If you can't find the patient (i.e. they haven't been registered), click Create patient.
Add/confirm patient demographics and contact details
1. Add or confirm the patient's demographic details (First name, Last name, Patient ID, Gender, Date of birth, Height and Weight are mandatory).
2. Add or confirm the patient's contact details, then click Next.
Add patient Medicare details
Medicare details may be required for your lab. If so, these details are mandatory.
1. Add the patient's Medicare card details (if the patient doesn't have a Medicare card, select No Medicare card).
2. If the patient's name on their Medicare card matches their name in BeatBox, click Same as patient name in BeatBox. Otherwise, add the patient's name.
3. When you have finished, click Next.
Add procedure details
1. Select the procedure type and choose the device.
2. In the Recorded Date and Recorded Time fields, select the estimated date and time the patient is to be hooked up to the device (you can change this later).
Add patient medical details
1. Click to select the indications that the patient presented with.
2. Type the reason for the test and the patient's medications (if known).
3. Select the Referring Physician and Ordering Clinician (if relevant).
4. Indicate whether the patient has a pacemaker or has had a stroke. If they have had a stroke, specify the date.
5. Indicate whether the patient has had a COVID diagnosis (if known).
6. Click Save.
The patient's Sleep procedure is added to BeatBox.
You can either enrol the patient on the Sleep device now, or later via your Worklist.
Part II: Enrol patient on Sleep device
Before enrolling a patient on the Sleep device, you must first enrol the patient's procedure in BeatBox.
Once you have enrolled the procedure, its status will be 'Ready to enrol'.
You can then either enrol the patient on the device straight away, or later (via your Worklist).
Note: The enrollment process and device setup can be completed either before the patient arrives for their sleep study appointment or upon their arrival.
Enrol patient on device right after you enrol the procedure
1. Check that the docking station for the Sleep device is connected to your computer, then plug the device into the docking station.
2. Go to your Worklist and search for the procedure.
3. Click Enrol to the right of the procedure.
4. If a mandatory document is required for upload then you will be prompted to upload the document.
5. On the Enrol patient pop-up, check that the patient's hookup date and time are correct then click Enrol.
6. On the Web Enrolment pop-up, click continue to proceed.
7. Select the Device Drive to allow BeatBox access to the device:
8. Select the CDC serial port:
9. Click Enrol on Device to Enrol the patient details on the device:
10. On clicking Enrol on Device, the following message will pop-up if there are any pending files on the device awaiting upload.
11. Click Continue to proceed.
12. BeatBox will proceed to enrol the patient information on the device and the status for the Sleep procedure will change status to Enrolled on Device.
13. Verify the scheduled recording start time on the device.
14. The Falcon Device can now be fitted on the patient.
Part III: Upload data from Sleep device
1. Go to https://www.beatbox.cloud/ and log in to BeatBox.
2. Check that the Sleep device is plugged into your computer:
- Attach the Sleep (Falcon HST) device to the docking station, then insert the docking station cable into the USB port on your computer.
- Check that Sleep (Falcon HST) device is plugged into your computer.
3. Go to your Worklist and search for the patient's procedure.
4. To the right of the procedure, click Get data.
5. Ensure that you completed the checks listed on the upload data dialog box, then click Upload:
6. When a sleep procedure is successfully uploaded, the following message will display:
7. If mandatory documents are required for upload then you will be prompted to upload the document:
- Click on the paperclip icon
on the worklist.
- On the windows explorer folder, search for and select the required documents from your local computer and click Open to upload:
- The mandatory documents will be uploaded and stored on the Support Docs Tab on the Report View.
8. Click the Send option. The status for the Sleep procedure will then update to Sent for Analysis.
