Clinical Query
Overview
The Clinical Query feature replaces the previous manual, paper-based process by providing a centralised and trackable way to log, manage, and resolve clinical questions related to diagnostic study reports. This improves visibility, consistency, and turnaround times.
Clinical queries are typically raised after a diagnostic report has been finalised when a referring physician requests clarification or additional information.
This applies across all diagnostic procedures, including:
- Holter studies
- ECG and ECG Hard Copy
- Echocardiograms (Echo)
- Ambulatory Blood Pressure (ABP)
- Sleep studies
Common reasons for raising a query
- Clarification of report findings
- Missing or incomplete information
- Requests for amendments to a report
How to Raise a Clinical Query
1. Locate the Study
- Search via the Search tab, or
- Locate the study in the Worklist
Note: Queries are typically raised after a report is finalised, often following a GP follow-up appointment.
2. Open the Action Menu
- Click the ellipsis (⋯) menu on the relevant study
3. Select “Raise Clinical Query”
- Choose Raise Clinical Query from the dropdown options
Note: All users can create a clinical query.
4. Alternative Access (Report View)
- A clinical query can also be raised directly from the Report View
5. Complete the Query Form
Enter the required details:
- Referring physician contact name
- Contact phone number
- Query type (select from dropdown)
- Query detail (clearly describe the request or issue)
6. Attach Supporting Documents (Optional)
- Click Add File
- Select a file via File Explorer
Note: Only one document can be uploaded per query
7. Save the Query
- Click Save to log the clinical query
How to View and Manage Clinical Queries
1. Access Clinical Queries
- Navigate to Settings → Clinical Query
This is the central repository for all clinical query records
2. Review Query Details
From the Clinical Query screen, you can:
- View the associated procedure report
- Open procedure or patient details via the ellipsis (⋯) menu → Details
- Access full query history via the Clinical Query tab within the procedure
3. Query Actions
Depending on your user role, you may be able to:
- Close a query (available to CardioScan Doctors, Cardiac Technicians, and BeatBox Administrators)
- Cancel a query (available to the query creator and BeatBox Administrators)
4. Query Status Monitoring
- Query status can be monitored via the Clinical Query page in Settings
- Provides real-time visibility of:
- Open (in-progress) queries
- Cancelled queries
- Closed queries
- Query status can also be viewed via the study details page
5. Filter Clinical Queries
Filter by:
- Location (e.g., lab name)
- Procedure Type
- Query Status
- Query Type
- Response Type
- Assigned Doctor or QA
- Filters behave the same as the Worklist:
- Save filters
- Clear filters
- Close the filter panel
6. Viewing Queries on the Worklist
- Clinical queries (open or closed) can also be viewed directly from the Worklist
- Apply filters to display:
- Studies with queries raised
- Studies with queries closed
Cancelling a Clinical Query
Steps to Cancel a Query
- Navigate to the Study Details via:
- The ellipsis (⋯) menu, or
- The Report View
- Select the option to Cancel Query
Outcomes of Cancelling or Closing a Query
- The query is marked as Cancelled or Closed
- Visual highlighting is removed
- A Clinical Query Closed tag is applied

Notifications (Optional)
- Users can opt in to receive an email notification when a clinical query is closed.
- Notification preferences can be configured via the User Settings menu.
Key Notes
- Query Creation: All users can raise a clinical query.
- Query Cancellation: Only the user who created the query or a BeatBox Administrator can cancel it.
- Query Closure: Only authorised roles (CardioScan Doctors, Cardiac Technicians, BeatBox Administrators) can close queries.
- Single Active Query Rule: Only one open query is allowed per procedure at a time. A new query can only be raised after the existing one is closed or cancelled.
- Supporting Documents: Only one document can be uploaded per query.
- When to Raise a Query: Queries are typically raised after report finalisation, often following a GP follow-up.
