Edit user details
This topic shows you how to:
- Reset a user's password
- Change a user's email
- Resend a Welcome email to a user
- Make a user inactive
- Make an inactive user active
- Delete a user
Reset a user's password
1. Click the icon at the top left of your Worklist, then click User management. (Click outside the side pane to close it).
2. Use the Search function to find the relevant user, or sort the list then scroll to find the user.
3. Next to the user, click Reset password.
A message will display, prompting you to check whether you want to reset the user's password.
4. On the message that displays, click Reset.
A message will display to inform you that a reset request email has been sent to the user. Click OK to close the message.
Change a user's email
If a user has changed their email, you will need to create a new user with the new email, then either delete the original user or make them inactive.
1. Create a new user using their new email.
2. Check whether the user has already set up their initial password in BeatBox (via the link in their Welcome email).
If the user's status in BeatBox is:
- 'Invitation sent' (they haven't yet created a password), delete the original user
- 'Active' (they have already created a password), make the original user inactive
Resend Welcome email to user
When you create a new user, a Welcome email is automatically sent to the user enabling them to set up their initial BeatBox password. The user's status in BeatBox is then 'Invitation sent'. If the user doesn't create a password within 48 hours, the link will expire.
If a user did not receive the email or their password setup link has expired, follow these steps:
1. Click the icon at the top left of your Worklist, then click User management. (Click outside the side pane to close it).
2. Use the Search function to find the relevant user, or sort the list then scroll to find the user.
3. Next to the user, click Resend invitation.
A message will display to inform you that a Welcome email has been sent to the user. Click OK to close the message.
Make user inactive
If a user has already created a password in BeatBox, you can make them inactive (but you cannot delete them). If a user's BeatBox account is inactive, they are unable to login to the application until their account is made active again.
1. Click the icon at the top left of your Worklist, then click User management. (Click outside the side pane to close it).
2. Use the Search function to find the relevant user, or sort the list then scroll to find the user.
3. Next to the user, click .
A message will display, prompting you to check whether you want to make the user inactive.
4. On the message that displays, click Make inactive.
The user's status changes to 'Inactive'.
Make inactive user active
If a user's BeatBox account is inactive you can activate their account by changing their status to 'Active'.
1. Click the icon at the top left of your Worklist, then click User management. (Click outside the side pane to close it).
2. Use the Search function to find the relevant user, or sort the list then scroll to find the user.
3. Next to the user, click .
The user's status changes to 'Active'.
Delete user
You can only delete a user if they haven't set up an initial account in BeatBox (their status will be 'Invitation sent').
1. Click the icon at the top left of your Worklist, then click User management. (Click outside the side pane to close it).
2. Use the Search function to find the relevant user, or sort the list then scroll to find the user.
3. Next to the user, click .
A message will display, prompting you to check whether you want to delete the user.
4. On the message that displays, click Delete user.
The user is deleted from BeatBox.
